- Purpose of This Policy
This policy sets out how I collect, use, and protect your personal data in the context of our therapy or supervisory relationship. As a UKCP-registered Integrative Relational Developmental Psychotherapist and Supervisor, I am committed to upholding confidentiality, data protection, and ethical integrity in accordance with the UKCP Ethical Principles and Code of Professional Conduct, as well as the UK General Data Protection Regulation (UK GDPR)and the Data Protection Act 2018. - Information I Collect
To provide ethical and effective therapy / supervision, I collect and retain the following information:
- Your name and contact details
- Your professional role, qualifications, and registration details (e.g., UKCP registration) For supervision only.
- Supervision and therapy contracts and any written correspondence
- Brief process notes from our sessions (non-evaluative and minimal)
- Any relevant information you provide during supervision. For supervision only.
- Legal Basis for Processing
Under UK GDPR, I rely on the following lawful bases for processing your data:
- Contractual obligation – to fulfil our therapy / supervisory agreement
- Legitimate interest – to maintain professional and ethical records
- Legal obligation – to comply with regulatory and safeguarding duties
- Use of Information
Your data is used solely for the purpose of:
- Facilitating a safe, ethical, and reflective therapy / supervisory relationship
- Supporting your clinical work in line with UKCP standards
- Managing communication and scheduling
- Fulfilling legal and ethical duties, including risk management and safeguarding
- Data Storage and Security
- Paper records (if used) are stored securely in a locked cabinet in my Oakham office.
- Electronic records (e.g., notes, agreements) are kept on encrypted, password-protected devices. I am happy for a supervisee to record their supervision sessions. They are then responsible for the electronic storage of this material in line with GDPR.
- I do not keep notes on therapy clients other than date and time of appointments.
- Email communication is conducted via secure and reputable platforms.
- Only I have access to your personal data unless disclosure is required by law (see section 6).
- Limits of Confidentiality
Therapy and supervision is a confidential process. However, confidentiality may be ethically or legally overridden in the following situations:
- If there is serious concern about harm to yourself or others
- If there are concerns related to safeguarding children or vulnerable adults
- If required by a court of law
- When discussing supervision within my own supervision, all identifying details are anonymised
In such instances, I will, where appropriate, seek to discuss any necessary disclosures with you beforehand.
- Your Rights
You have the right to:
- Access the personal data I hold about you
- Request corrections to any inaccurate data
- Request erasure of your data, subject to legal or regulatory constraints
- Object to or restrict processing
- Lodge a complaint with the Information Commissioner’s Office (ICO)

- Data Retention
In line with UKCP guidance and professional insurance requirements, therapy and supervision records are retained securely for 7 years after the end of our therapy or supervisory work. After that period, they will be securely deleted or destroyed.
- Responsibility of the Supervisee
As a supervisee, you are responsible for ensuring that any clinical material you bring to supervision complies with your own ethical obligations, including anonymising client information and adhering to the UKCP’s Code of Ethics.
